Boise Valley Commercial Real Estate Leasing Options from The Sundance Company

The Sundance Company knows that finding the right leasing space for your business can be a complicated and difficult process, and that is why we are here to help your company find the right space in the Boise Valley.

There are several variables to consider and The Sundance Company offers a general summary of the leasing process, but the steps involved for your company may vary.

Identify Needs:  Location affects your visibility, the quality of your space and ultimately the long-term value of your business. Before you finalize your location in the Boise Valley you need to answer a few questions: Where are our customers? Our market region? Our employees? Where is the competition located?

Cost: Your monthly rent will be determined by a few variables including location (Boise, Meridian, or Nampa), lease rate per square foot, free rent or other concessions provided by the owner, utilities and other costs if the lease is triple net, additional tenant improvements that are amortized into the rent, and annual rental increases as provided for in your lease.

Type of Space: The type of space you need is going to be determined by the type of product or service you provide. Is it industrial? Retail? Office? The Sundance Company has commercial real estate leasing options including industrial, retail, and office throughout the Boise Valley so we can certainly find the right type of space for your company.

Looking for space: Trying to find the right commercial real estate leasing space can be done in a number of ways including driving all over town trying to find the properties that match your criteria or securing the services of a tenant representative if you want to make the best use of your valuable time. So contacting a tenant representative is by far your best option unless you have plenty of time to waste. The Sundance Company has the experience and expertise to help you find the right commercial real estate leasing space in the Boise Valley.

How Important Is Infrastructure?

Keeping up on computer and telecommunications technology seems a full-time job these days. Jargon aside, how important is the ability to access the latest and greatest technology when deciding on my company´s next office space?

First, let´s define technological capacity as infrastructure. And yes, you should pay close attention to technological infrastructure elements such as wiring, cabling and bandwidth capabilities within a prospective office building. The quality of a building´s infrastructure determines your ability to tap into the rapidly changing technology that´s increasingly important to modern companies.

Generally, newer buildings have been “wired” for every need. Before you lease space in an older office building, make certain that the wiring has been upgraded to handle modern technology.

Pay extra attention to the technology infrastructure when checking out buildings that weren´t originally intended for office use. Lofts, converted retail space and other “adaptive reuse” spaces often-present special problems from a technology standpoint.

Signs That It Is Time To Move Your Business

As a successful small business owner, you may soon find yourself in the enviable position of outgrowing your current office space. Staying put in a cramped office is not a solution. A smart business owner knows when it’s time to trade up and move somewhere with more breathing room.

Here are 10 surefire signs that it’s time to move or expand your office:

1. People are sitting on top of one another. Face it: your employees need their space, especially if being on the telephone all day is part of their job. Nobody wants to listen to every conversation his or her neighbor makes, which can be very distracting while trying to do other work.

2. The break room is “standing room only.” If your on-site lunchroom or break room is always full, employees may start going elsewhere for their breaks, which can mean extended lunch hours. Remember that happy employees are productive employees, so don’t scrimp when it comes to providing them with adequate space in which to recharge.

3. Workstations are cramped. If your employees practically have their computers sitting on their laps (and they’re not laptops), it’s time for roomier office space. People need to feel physically comfortable to do their jobs effectively.

4. The conference room is now an office. Stashing a few employees in the conference room is a convenient, short-term solution to office overcrowding. But it’s also a red flag for any business owner, indicating that it’s time for a more permanent solution to your space issues.

5. The mailroom is swamped. Don’t waste time and energy trying to operate with a mailroom that has long outgrown its capacity to service your office. If your mailroom is becoming a bottleneck due to overcrowding, it’s time for a bigger one.

6. Filing cabinets are overflowing. Yes, it’s important to save paperwork. But if your filing cabinet doors won’t shut because of the amount of papers and records crammed into them, your office is getting too big for its britches.

7. There’s high employee turnover. While a steady exodus of staff can be indicative of a number of problems, it may also be your wake-up call, telling you that your office is not a comfortable place in which to work.

8. The hallway is the new storage closet. Besides being a fire hazard, using the hallways as storage takes away the professional appearance of your office. If you let the physical space spiral into cluttered chaos, that can reflect upon your employees’ work, which may become messy and unfinished.

9. Parking has become a challenge. If you’re starting to overhear complaints about the difficulty employees have in finding an available space in the parking lot, it may another sign to look for new digs.

10. Your business has increasing needs. More employees, new equipment, and other resources may be necessary to meet the increased demand of your business. If space limitations are preventing you from adding such necessary resources, you may be limiting the potential growth of your business.

Planning Your Company’s Future Move

Knowing how many people you employ now helps you estimate how much space you need today to operate your business comfortably, but building in your anticipated growth helps you expand your business without costly interruptions. As a company grows in size, relocation becomes a very large and complex undertaking, requiring input and coordination of construction, IT, finance, furniture vendors, engineering, and other teams and personnel. By waiting too long to start the process, a company could be limiting its options, rental rates could be higher, and the number of spaces available might be limited.

So if you currently employ 10 people therefore you can estimate you need approximately 2,500 square feet of office space today. (250 SF per person X 10 people= 2,500 SF). But, you expect to add 2 new employees each year and you want to sign a three-year lease. Do you need an additional 1,500 square feet today to accommodate your growth plans? Not necessarily. You need to determine what type of employees you will be adding. If they are senior executives that need private offices then, you will need to add closer to 1,800 square feet, (300 SF X 6 executives= 1,800 SF). But, if they are clerical support staff that will operate in a “bull pen” or open space plan then the need may be as low as 900 square feet, (150 SF x 6 employees = 900 SF) Spending time now estimating your employee growth plans could save you a significant amount of money in the future. Moving your offices mid-lease because you do not have enough space to add necessary staff can be much more expensive than building in your expected growth needs before you sign the lease.

The below table is a general guideline for how much time you should spend looking for new space for your company.

Space Size in SF Time Table
1,000 – 5,000 3-6 Months
5,001 – 10,000 4-9 Months
10,001 – 20,000 6-10 Months
20,001 – 50,000 8-15 Months
50,001 – 100,000 15-24 Months
100,001 + 24+ Months

Creating a Healthy Office Environment for your Business

There is no doubt want to make sure you and your employees enjoy a healthy, productive office environment. But what can you do to help your Boise Valley office space into one that inspires productivity and efficiency?

Your space should be one that motivates, but you also must provide an area for your employees to de-stress and decompress. Beautiful artwork, a large window or simply a quiet spot where employees can give their eyes and their minds a rest from the rigors of blaring computer screens and the phone ringing is a must for a healthy office environment.

Also, be aware of the lighting in your Boise Valley office space. Sure, you need plenty of task lighting to get the job done, but you also need to provide natural light in your space wherever you can. From writing at their desks to scanning the bookshelves, you need to ensure that task lighting is adequate to help prevent eye strain. However, all task lighting and no natural lighting can have a negative effect on the mood of your employees especially during the winter months so try to give them as much natural light as possible to calm and invigorate them and yourself.

Never underestimate the power of fresh air and plants. Stale office air does nothing for the health of your employees so add plants whenever possible. Plants not only provide fresh air to your office, but they are also pleasing to the eye. If you can find office space with accessible outdoor space, your employees will thank you for it.

Don’t overlook ergonomics when choosing or designing your office space. The health of your employees especially those who sit behind their desk for the better part of the day relies on their comfort. Do what you need to do in terms of ergonomically friendly desks, chairs, and computer accessories to ensure that their minds and bodies are comfortable and properly positioned throughout the day.
