Planning Your Company’s Future Move

Knowing how many people you employ now helps you estimate how much space you need today to operate your business comfortably, but building in your anticipated growth helps you expand your business without costly interruptions. As a company grows in size, relocation becomes a very large and complex undertaking, requiring input and coordination of construction, IT, finance, furniture vendors, engineering, and other teams and personnel. By waiting too long to start the process, a company could be limiting its options, rental rates could be higher, and the number of spaces available might be limited.

So if you currently employ 10 people therefore you can estimate you need approximately 2,500 square feet of office space today. (250 SF per person X 10 people= 2,500 SF). But, you expect to add 2 new employees each year and you want to sign a three-year lease. Do you need an additional 1,500 square feet today to accommodate your growth plans? Not necessarily. You need to determine what type of employees you will be adding. If they are senior executives that need private offices then, you will need to add closer to 1,800 square feet, (300 SF X 6 executives= 1,800 SF). But, if they are clerical support staff that will operate in a “bull pen” or open space plan then the need may be as low as 900 square feet, (150 SF x 6 employees = 900 SF) Spending time now estimating your employee growth plans could save you a significant amount of money in the future. Moving your offices mid-lease because you do not have enough space to add necessary staff can be much more expensive than building in your expected growth needs before you sign the lease.

The below table is a general guideline for how much time you should spend looking for new space for your company.

Space Size in SF Time Table
1,000 – 5,000 3-6 Months
5,001 – 10,000 4-9 Months
10,001 – 20,000 6-10 Months
20,001 – 50,000 8-15 Months
50,001 – 100,000 15-24 Months
100,001 + 24+ Months

Creating a Healthy Office Environment for your Business

There is no doubt want to make sure you and your employees enjoy a healthy, productive office environment. But what can you do to help your Boise Valley office space into one that inspires productivity and efficiency?

Your space should be one that motivates, but you also must provide an area for your employees to de-stress and decompress. Beautiful artwork, a large window or simply a quiet spot where employees can give their eyes and their minds a rest from the rigors of blaring computer screens and the phone ringing is a must for a healthy office environment.

Also, be aware of the lighting in your Boise Valley office space. Sure, you need plenty of task lighting to get the job done, but you also need to provide natural light in your space wherever you can. From writing at their desks to scanning the bookshelves, you need to ensure that task lighting is adequate to help prevent eye strain. However, all task lighting and no natural lighting can have a negative effect on the mood of your employees especially during the winter months so try to give them as much natural light as possible to calm and invigorate them and yourself.

Never underestimate the power of fresh air and plants. Stale office air does nothing for the health of your employees so add plants whenever possible. Plants not only provide fresh air to your office, but they are also pleasing to the eye. If you can find office space with accessible outdoor space, your employees will thank you for it.

Don’t overlook ergonomics when choosing or designing your office space. The health of your employees especially those who sit behind their desk for the better part of the day relies on their comfort. Do what you need to do in terms of ergonomically friendly desks, chairs, and computer accessories to ensure that their minds and bodies are comfortable and properly positioned throughout the day.

Calculating How Much Space Your Business Needs

When your business is considering a move, or just starting out, you need to plan carefully when you calculate how much space you will need. Either too much or too little can have a dramatic impact on your bottom line, but there are some techniques you can use to determine exactly how much space you need. First, you need to assess your current situation, and then decide what are your expectations for the growth of your business over the next few years by considering the following questions:

  • How many people do I currently employ?
  • Does each employee need an individual desk or is sharing possible?
  • Do I expect to add any staff in the next couple of years?
  • Over what period of time will I add the staff?
  • What kind of staff will I be adding, executive, administrative, or sales?

In general, the amount of office space you need is estimated according to head count and your industry type. The customary range for office space is 150-350 square feet (SF) per person employed. It is the type of space you need to accommodate your business that plays a large part in narrowing that range.

At the lower end of the range is the open space plan, which has no private offices. Call centers and sales offices generally use this configuration and have desks or workstations grouped together. At the high end of the range is the traditional hard-wall or private office layout. Law offices, for example, almost all have private offices, large conference rooms, and support rooms such as libraries, kitchens and file rooms. But, for your foray into the office hunt, the general approach of using 250 square feet per person to estimate the amount of space you will occupy is a great place to begin.

Does Your Boise Valley Office Space Need Cubicles?

When setting up your new office space in the Boise Valley, deciding whether or not your office should go the cubicle route can be tricky.

On the positive side, cubicles do provide employees with barriers from noise and visual distractions in the office, allowing them to better concentrate on their work. Cubicles also offer a certain degree of privacy, along with the impression that each employee has his or her own dedicated workspace. Cubicles also offer more space for shelves and a convenient canvas for posting schedules and memos.

On the negative side, cubicles have been known to drastically decrease person-to-person communication in the office, leading to frequent complaints about isolation, depression, and low employee morale. Cubicles can also be rather ugly and uninspiring due to their generally bland color, and have been the subject of ridicule for quite some time now in comic strips and movies.

So when figuring out the best workspace configuration for your employees, the most important issue to consider might be, what do your employees actually do? If your employees spend the majority of their workday on the phone conversing with clients or the general public, going the cubicle route might make sense, as the enclosed space will provide them with the quiet they need to conduct a private conversation. If your employees spend the majority of their days typing away on computers and have little or no need to be on the telephone (or even talk amongst themselves), an open workspace plan might be a better approach.  Of course there are other factors to consider as well like aesthetics, company image, but this is just a little information to mull over when you are setting up or reconfiguring your Boise Valley office space.

Advantages to Leasing Boise Valley Office Space

It may not be a question as old as time, but some business owners and entrepreneurs in the Boise Valley struggle with the decision if they should buy or lease their office space. Statistics show that most new business owners start out by leasing office space, and many business consultants advise leasing your work space until you get on your feet and your business starts operating in the black. There are also some other advantages to leasing your business property in the Boise Valley:

  • Flexibility. One obvious advantage to leasing property is the flexibility it provides. When the lease is up, you can easily relocate to another office that better suits the needs of your business and your budget.
  • Fewer responsibilities. The property manager or landlord is the one responsible for maintenance, security, remodeling, and other management issues.
  • No mortgage. Not being locked into a mortgage loan allows you to free up cash and put it where it is needed, which is especially helpful for new business owners.
  • Negotiable rates. If real estate properties in your area are plentiful, it may be possible to negotiate a lower price on your lease amount.
  • Less tax paperwork. If your business is leasing office space, your income tax return will be simpler to file, compared to the endless forms that building owners must fill out.
  • No down payment. When you purchase a building, you typically pay 20 to 25 percent of the price as a down payment and then mortgage the balance. When you lease office space, you need only pay one or two months of the lease value before moving in, which can be a real blessing for cash-strapped small business owners.
